Overview
We’re committed to a safe, inclusive environment for every child. This page explains how we collect and use medical information, how we manage allergies and medication, and how we support children with additional needs (SEND) and disabilities.
Scope
Applies to all participants, parents/guardians, staff and volunteers at Flag Frenzy Football Camp.
Our Commitments
- Collect only essential health information, store securely, and share on a need‑to‑know basis.
- Follow parent/clinician instructions for allergy and medical management.
- Provide trained first aiders on site; respond promptly to incidents and inform parents.
What We Ask of Parents/Guardians
- Provide accurate medical details and at least one reachable emergency contact.
- Supply clearly labelled medication (name, dose, timing) and hand it to staff at sign‑in.
- Update us immediately if details change before or during camp.
Allergies & Medical Management
- Allergies: We maintain an allergy register and brief staff daily. We discourage food sharing. Adrenaline auto‑injectors/inhalers must be on site and accessible.
- Illness & injuries: First aid is provided and incidents logged. We contact emergency contacts for anything beyond minor first aid.
Medication Administration Procedure
- Parent hands over medication at sign‑in with written instructions (captured in registration notes or handed in as written directions).
- Medication is stored securely but quickly accessible; temperature‑sensitive items follow manufacturer guidance.
- Two‑step check at administration (dose/time/child) where practicable; record kept (time, dose, staff initials).
- We do not give the first‑ever dose of a new medication at camp.

Inclusion & SEND
We welcome children with additional needs and disabilities. Our approach is to plan reasonable adjustments so each child can participate safely and enjoyably.
- Please share details during registration; we may arrange a pre‑camp conversation to agree adjustments.
- Examples include activity adaptations, visual schedules, quiet spaces, flexible transitions, or additional supervision.
- If 1:1 support is essential, we’ll discuss safe options (our staff capacity, or a parent‑provided support adult subject to suitability checks and site procedures).
- Where a need cannot be safely met despite reasonable adjustments, we will explore alternatives (different group, modified timetable, or credit/refund options consistent with our refund policy).
Care Plans (EAP/IHP)
For ongoing conditions (e.g., asthma, epilepsy, diabetes, severe allergies), we may create an Emergency Action Plan (EAP) or Individual Healthcare Plan (IHP) with you.
- Plan includes triggers, signs, step‑by‑step actions, medication, and emergency contacts.
- Reviewed daily at sign‑in; any updates noted on the register.

Emergency Care & Consent
By completing registration, you give consent for us to administer basic first aid and, if required, seek emergency treatment on your child’s behalf. We will always try to contact you first unless urgent action is needed.
Consent is captured within the registration form; no separate consent form is required.
Illness, Infection Control & Exclusion
- Do not attend if your child is acutely unwell or has a contagious illness.
- General guide: return after 48 hours symptom‑free following vomiting/diarrhoea. For other conditions, follow NHS/public health advice.
- We may request a fit‑to‑return note where appropriate.
Return‑to‑Play (Injury/Illness)
- Activities are adapted following an injury or illness; we follow parent/clinician guidance on limits.
- For head injuries or suspected concussion, the child will stop participation that day and should only return in line with medical advice.
Incident & Accident Records
We keep records of first aid, medication administration, and significant incidents. Parents may receive a copy at collection or by email upon request. Serious incidents are escalated under our Safeguarding & Health and Safety procedures.
Data & Privacy
Medical information is processed under our Privacy Policy. We retain registration records for up to 12 months after the camp season. Medical and emergency contact details are deleted at the end of the season unless required by law or safeguarding.
